Position Summary

The Senior Operations Executive is responsible for handling end-to-end Sea / Air freight operations and overseeing customs clearance processes. The role involves coordinating with shipping lines, airlines, airport / seaport authorities, customs authorities, and any other vendors (or) Govt. Departments relevant to Sea / Air freight operations. Additionally, the executive will support clients through timely issue resolution and manage escalations to ensure customer satisfaction.

Responsibility Description

Workflow and Operation Management

  • Handle Air/Sea freight operations, ensuring timely and accurate delivery of goods.
  • Oversee end-to-end process of customs clearance for Air/Sea/Land freight
  • Manage and review shipping documents to ensure accuracy and compliance with regulations.
  • Arrange and Handle customs inspections / Regulatory authority Inspections.
  • Track, monitor, and reconcile the transactions of the Customs Account, DP World Account, Calogi Account & Other portal accounts relevant to the freight operations and ensure that the balance figures match the Finance team's records.
  • Ensure customs declarations are processed in compliance with regulations and original documents are submitted to Dubai Customs in a timely manner.
  • Provide shipment updates and Period reports to the Operations Manager (Freight) on a regular basis.
  • Address customer inquiries and concerns regarding customs clearance in a timely manner.

Supporting Operation

  • Monitor the daily operations shipments to make sure that customs clearance is conducted on time
  • Maintain logs to track the services of the department
  • Facilitate resolution of problematic shipments through coordinating with the relevant business units and providing inputs
  • Provide assistance to freight operations team while being on ground if required 

Operations Reports

  • Creates daily reports for all services rendered by the operations department and ensures that all services are updated in the system
  • Prepare timely and accurate operations statements and reports as required

Maintains Customer Information Confidentiality

  • Ensures customer information security by adhering to strict guidelines for collecting, processing, and recording information collected from the customer in the course of routine operations.

  • Strives to achieve the highest levels of proficiency in all the competencies and skills required to perform the role.
  • Identifies the training and development requirements for self and agrees on the manager to ensure that the required trainings are arranged and attended.
  • Sets the performance goals in the beginning of the year after discussion   with the manager and ensures that the goals are achieved during the course of the year.

MIS and Reports 

  • Prepare timely and accurate MIS statements and reports as required.

  • Provides feedback regularly on the effectiveness and soundness of policies and procedures.
  • Ensures that policies and processes fulfil all procedural/legislative requirements while delivering a quality, cost-effective service.

Academic/ Vocational Qualifications

  • Bachelor's degree in business management, logistics, supply chain or in a related field or higher

Work Experience

  • Minimum of 3 years' experience in customs clearance operations of Air and Ocean shipments
